Data Management
In this article, you'll learn how to manage and assign data to an existing e-commerce platform, referred to as a "Webshop Tenant" in Aident WebConnect.
Prerequisites
- Webshop Tenant is created in Business Central.
- The permission set 'Aident WebConnect - Edit' must be assigned to your user.
Customer
When a new customer is imported from the e-commerce platform, it appears on the Webshop Customers page. After processing, the customer is either created or updated in Business Central, and is automatically linked to the originating Webshop Tenant. All assignments are listed on the Webshop Customer Assignment page. If a customer in Business Central is associated with at least one Tenant, the Belongs to Webshop field in the customer table will be marked as true. You can also assign existing customers in Business Central, created manually, to a Webshop Tenant.
Ship-to address
Ship-to Addresses can also be imported from the e-commerce platform, and they have their own assignment table, Webshop Ship-to Address Assignments. If a ship-to address in Business Central is linked to at least one Tenant, the Belongs to Webshop field in the ship-to address table will be true.
Both Customers and Ship-to Addresses can belong to multiple Tenants. During the export process, only those linked to the selected Webshop Tenant will be included.
Orders
All imported and unprocessed orders can be found on the Webshop Orders page. If there are errors, the No. of Errors field will indicate how many issues exist in the order and its lines. Clicking this field will display a list of errors. Imported orders can be processed manually or via the job queue. Each imported order is categorized as either an Order or a Return, leading to the creation of a Sales Order or Sales Return Order in Business Central. After successful processing, the Tenant Code and Order Number from the e-commerce platform will be retained throughout Business Central, and the order will be moved to the Webshop Order Archive page.
Order Statuses
You can store order status information in the Webshop Sales Orders table if this feature is enabled for the Webshop Tenant. It's possible to export this information from Webshop Order Status table.
The order statuses can include next:
- Imported: The system has newly imported the order or return into Webshop Orders.
- Created: The system created the Sales Order or Return Order from the Webshop Order.
- Partially Shipped: The system delivered a portion of the order quantity.
- Shipped: The system delivered the entire order.
- Partially Received: The system received a portion of the return order.
- Received: The system received the entire return order.
- Completed: A Sales Invoice Order is generated from a Sales Order or a Sales Credit Memo from a Return Order.
Items
To assign an item to a Webshop Tenant in Business Central, navigate to the Webshop Item Assignment page. Here, you can specify the associated Webshop Tenant by checking the Belongs to Webshop field. To remove an item from a Webshop Tenant, delete the Webshop Item Assignment line or uncheck the Belongs to Webshop field. This same process applies to item variants.
Each item and variant can belong to multiple webshop tenants, and during export, only items linked to the selected Webshop Tenant will be included.
You can assign multiple items to Webshop Tenants using the Batch Webshop Item Assignment action. Find this action on the Item List and Webshop Item Assignment List. When you execute it, a report opens that allows you to filter Webshop Tenants for the Item Assignments. You can also filter by Item Category, Item No., and Vendor No. If any Items meet the specified filters, the system will assign them to the selected Webshop Tenants.
Another option for assigning Items is the Assign Item action, available on the Item List and Item Card. In the Item List, select one or more Items that you want to assign to a Webshop Tenant, then execute the action. A page will open where you can select one or more Webshop tenants. Confirm your selection by clicking the OK button, and the chosen items will be assigned to the specific Webshop Tenants.
To assign Item Variants to Webshop Tenants, use the Assign to Webshop action found on the Item Variants page. First, select the Variants you want to assign to one or more Webshop Tenants. After running the action, a page will appear for selecting the Webshop Tenants. Once you confirm your choices, the selected Item Variants will be assigned to the specified Webshop Tenants.
Stock
Stock per webshop tenant is determined based on Locations within the Webshop Tenant setup. During stock export or when processing imported orders, only the stock from selected locations is calculated.
Prices
To define price groups for a Tenant, follow the standard procedure for creating a Sales Price List. Then, assign the price to the Webshop Tenant in the Webshop Country/Region setup on the Webshop Tenant Card page. You can choose which price and discount groups to use for the Tenant and Country/Region combination. When a new price is created or an existing one is updated in the Sales Price List, if the associated Item belongs to a Webshop Tenant using that Price Group, the price will be copied to the Webshop Prices table for export to the e-commerce platform. Each entry in the Webshop Price table calculates the best current price for the item based on standard Business Central procedures.
