Work with gift cards in Aident CashPro
This article explains how gift cards work in Aident CashPro.
In the current implementation, gift cards are handled as vouchers of type Giftcard.
Before you begin
To use gift cards, make sure the following setup is complete:
Global setup
In Aident CashPro Setup, configure:
- Voucher No. Series
- Voucher Sales Account
- optional: Disburse Remaining Amount
Cash register setup
In Cash Register Setup, configure:
- Gen. Voucher Posting Group
- VAT Voucher Posting Group
Important
If the voucher number series or voucher posting groups are missing, CashPro blocks gift card creation.
Sell a new gift card
When a user sells a gift card, CashPro does the following:
- creates or reuses an open sale receipt
- opens the Sell Gift Card dialog
- creates a new voucher number
- creates the gift card record
- adds a voucher line to the sale receipt
- creates a voucher entry of type Sale
Steps\
- Start the gift card sale action in POS.
- Enter the Amount.
- Enter an optional Description.
- Confirm the dialog.
If no description is entered, CashPro uses Gift Card as the default description.
Important
The amount must be greater than zero.
When the gift card becomes active
A newly created gift card is not immediately active at the moment the line is created.
CashPro activates gift card vouchers when the related receipt is concluded successfully.
Check gift card value
CashPro provides a page to check a gift card number and display its information.\
Steps\
- Open Check Gift Card Value.
- Enter or scan the Gift Card Number.
- Review the displayed card information.
Information shown
If the card is found and active, CashPro can display:
- description
- original amount
- remaining amount
- active status
- open status
- created date
- valid-to date
If the card is not valid for inquiry
CashPro closes the page after showing a message if:
- the gift card number is not recognized
- the gift card exists but is not active
Redeem a gift card as payment
Gift cards are redeemed through a payment method in the Voucher payment group.
During payment, CashPro:
- scans or identifies the voucher
- checks the remaining amount
- applies a full or partial redemption
- creates voucher entries for the redemption
Depending on setup, remaining amounts may also be disbursed.

Voucher entries and audit trail
CashPro stores voucher entries for gift card activity. These entries can be used to review how a gift card was used over time.

Gift card sale is blocked\
Check whether:

- Voucher No. Series is configured in Global Setup\
- Gen. Voucher Posting Group is configured on the cash register\

Check whether the voucher number exists.

Gift card is not activated\
A gift card is normally activated only after the sale receipt is completed successfully.\
